Administration
The
Administration of the Congregation is led by Mrs Anne Pole who is the
Congregation’s full time Administrator. Anne is supported by Mrs Emily
Wright, on a part time basis, and a team of willing volunteers.
Anne’s main
duty is the running of the Congregation’s Old Parish Office which is open 7
days a week. Anne describes her main functions as being the point of
contact between the congregation or the public and the church or the
Ministers, and to be a welcoming presence. While a descriptive list of her
duties is outlined below, the Congregation is particularly aware that Anne
is frequently its first line of welcome and in that context, the pastoral
side of her work cannot be over estimated.
In addition
to providing the Administration support for the Glens and Kirriemuir Old,
the Office is also an administrative resource for the local community and
also the West Angus Area Ministry.
The duties of
the Administrator include ….
 | welcoming
people into the office and responding to need |
 | giving
administrative help to the Minister and for the church organisations e.g.
photocopying, typing - including minutes, agendas, posters, tickets,
syllabuses and distribution via pigeonholes. Notifying meetings etc |

photocopying for members of the congregation or general public who pay per
copy |
 |
co-ordinating the Hospital Transport Team |
 | making up
rotas including coffee, door duty, welcome, counting the offering,
readings and lifting offering |
 | checking
on kitchen supplies e.g. tea, coffee and replenishing when necessary |
 | looking
after the church library |
 | opening
the church for visitors if required and answering queries. Producing
leaflets for visitors, looking after donations, making sure the church is
ready for visitors and keeping folders up to date |
 | keeping
hall bookings which are co-ordinated centrally in the office and sending
out bills and keeping the office diary up to date |
 | preparing
and printing the church newsletter and magazine and organising both a team
to collate and separate teams to deliver |
 | updating the roll on the office
computer |
 | printing
for outside organisations especially voluntary organisations, churches and
charities |
 | keeping
notice boards tidy |
 |
replenishing and refreshing pew cards e.g. welcome cards & pew end cards
|
 | keeping
the baptisms database up to date and issuing baptism certificates and
ordering and collecting posies |
 | creating
pages and updating the Book of Remembrance |
 |
organising timesheets for part-time members of staff |
 | being a
member of the events committee which organises fundraising & social events

 | being a
point of contact for Toddler Groups |
 |
maintaining the web site |
 | having a
WAAM commitment |
 | dealing
with Blythswood, co-ordinating the shoebox appeal and the ongoing
collection of goods and monthly delivery to the lorry in Dundee. Anne is
the Christian Aid Rep for Kirriemuir. |
